New patients increased as enquiry activity grew

August recorded 56 new patients, up 6 from July (+12.0%) and down 7 from August 2025 (-11.1%). Recorded leads rose to 32 and inbound calls to 70. Google Ads generated 57 unique enquiry conversions at $92.09 each, on spend of $5,249.26. Meta spend was $4,728.61. Patient growth alongside higher activity is encouraging, but the figures do not establish how many new patients came from each campaign.

Turn stronger enquiry activity into more appointments

The clearest opportunities are to answer more enquiries, confirm lead outcomes and improve paid-media efficiency.

Patient numbers recovered from July

August’s 56 new patients were 12.0% above July and below last August’s 63. January–August volume reached 576, up 44.0% from 400 in 2025. The year-to-date result remains strong despite the softer August comparison.

Call coverage needs to keep pace with demand

Answered inbound calls increased from 17 in July to 47 in August. However, 23 calls were missed and the answer rate fell from 85.0% to 67.1%. Improving coverage and callback completion is a practical way to make better use of existing demand.

Connect enquiries to booking outcomes

The clinic welcomed 56 new patients in August, while 31 August enquiries remained open in the CRM as of September 27. Their booking outcomes need to be confirmed to understand which campaigns contributed to patient growth.

Google Ads contributed 17 of the 32 CRM leads (53.1%) and the website contributed 15 (46.9%). Fifteen Google Ads leads also appear among inbound callers, leaving two additional leads after removing overlaps.

As of September 27, 16 enquiries were in Follow Up Sent and 15 in New Lead. Confirm which have already booked or closed, then follow up on those still unresolved.

06

Call volume grew faster than answer coverage

August recorded 113 calls: 70 inbound and 43 outbound. All inbound calls came from Google Ads and represented 55 distinct phone numbers. The inbound answer rate fell 17.9 percentage points from July.

Make better use of incoming demand

Answered inbound calls rose from 17 in July to 47 in August, while missed calls increased from 3 to 23. All 70 inbound calls came from Google Ads. These represent 55 unique callers, with two additional leads bringing Google Ads conversions to 57.

Missed calls are included in the conversion total. Review when calls were missed and whether callbacks were completed to identify gaps in coverage. Average call duration was 1m 29s for calls with a recorded duration; booking outcomes remain the more useful measure of success.

07

57 Google Ads conversions at $92.09 each

Google Ads generated 57 conversions: 55 unique callers and two additional leads. Fifteen of the 17 Google Ads-related CRM leads also appeared among the callers and are counted only once. Conversions represent distinct enquiry contacts, including missed calls, rather than confirmed bookings or new patients.

Search visibility

  • Search impression share14.2%
  • Lost to budget26.7%
  • Lost to rank59.1%
Your ads appeared in a small share of the searches they could have shown for. Some opportunities were missed because the budget was limited, but more were missed because the ads did not rank high enough to show. Ad rank depends on factors such as bids, ad quality and relevance, so increasing the budget alone would not address the main gap.

Improve enquiry efficiency before increasing spend

Google Ads spend rose by $4,430.74 (+541.3%) from July to $5,249.26. August’s 57 unique enquiry conversions cost $92.09 each. A comparable July enquiry count is needed to establish whether conversion costs improved. Patient growth cannot yet be attributed to the additional spend.

Performance Max used 78.4% of spend and delivered 2,697 clicks; Search used 21.6% and delivered 85 clicks. The 57 conversions have not yet been allocated between campaigns, so click costs alone should not determine the budget split. Confirm enquiry attribution, improve search relevance and landing-page experience, and monitor cost per enquiry before scaling.

08

53 Meta leads and 1,702 landing-page views

The lead campaign generated 53 leads, while the awareness campaign brought visitors to the website. The overall cost per lead includes spend from both campaigns.

Improve lead efficiency and preserve low-cost awareness traffic

Meta spend rose 1.5% from July, while platform leads fell from 55 to 53. Lead-campaign cost per lead increased from $72.58 to $76.76 (+5.7%). Test creative and targeting changes against cost per lead and conversion rate before expanding the budget.

The Awareness Campaign delivered 1,684 landing-page views at approximately $0.39 each. Assess it on reach and website visits, separately from lead generation. These visits do not establish patient acquisition.

09

Website traffic reached approximately 6,630 visitors

Paid traffic, Facebook and direct visits make up most of the reported visitor mix. Organic traffic is 706, close to July’s 711.

Paid traffic led the visitor mix

Paid traffic accounted for approximately 35% of visitors, Facebook 26% and direct traffic 23%. Organic visitors were broadly unchanged at 706, compared with 711 in July. The larger audience therefore should not be interpreted as an organic-search gain.

Review landing-page engagement and enquiry completion by channel to assess the value of this traffic. Visitors, ad actions and CRM leads are different measures, so these totals alone cannot establish a visitor-to-patient conversion rate.

10

Campaign landing pages

These landing pages supported the campaign mix across general search, Invisalign, smile makeover, and broader conversion activity during August.

11

August’s key wins

The strongest positives are the improvement from July, the year-to-date patient result and efficient awareness traffic.

New patients increased to 56

August added six more new patients than July. The January–August total reached 576, ahead of 2025’s 400, although August itself remained below the prior-year result.

Answered inbound calls rose to 47

The team answered 30 more inbound calls than in July. All inbound calls came from Google Ads, which generated 57 unique enquiry conversions across calls and additional leads. Recovering missed calls remains an opportunity to turn more of this demand into appointments.

Awareness traffic remained inexpensive

The Awareness Campaign generated 1,684 landing-page views at approximately $0.39 each. Its traffic contribution can be assessed separately from the lead campaign’s 53 reported leads.

12

Priorities for follow-up and campaign efficiency

Prioritise call handling and accurate lead outcomes, then test campaign improvements against the right conversion measures.

Owner: Clinic reception

Close gaps in missed-call recovery

Check whether August’s 23 missed calls were returned and resolve any outstanding enquiries. Review the times calls were missed, adjust phone coverage where needed and track callback completion alongside the weekly answer rate.

Owner: Clinic reception

Confirm lead outcomes before further follow-up

Review the 31 enquiries still marked open as of September 27. Update those already booked, completed or closed, then contact enquiries that remain unresolved. Record booking outcomes and keep the Google Ads caller attribution consistent across lead records.

Owner: Shoutout Digital

Optimise Google Ads against unique enquiry conversions

Use 57 unique enquiries and $92.09 per conversion as the August baseline. Track enquiry attribution to Search and Performance Max while removing repeat callers and overlapping leads. Improve search terms, ad relevance and landing-page experience, then use campaign-level enquiry volume and cost to guide budget tests before increasing total spend.

Owner: Shoutout Digital

Improve Meta lead efficiency and assess awareness separately

Test lead-campaign creative and targeting against the current $76.76 cost per lead, changing one major variable at a time. Evaluate the Awareness Campaign on reach, landing-page views and cost per view. Review mobile landing-page and enquiry-form performance before scaling either campaign.
